We are currently seeking an experienced Office Administrator for our Farmington, NY location.
General Duties

- Answer 8-line phone system, screen/direct calls to appropriate party
- Maintain knowledge of phone system
- Assist president, general managers and other department heads with correspondence (dictation @ 80 wpm)
- Act as liaison between east and west coast offices, i.e., scanning/e-mailing purchase orders for approval, scheduling bi-coastal meetings, taking dictation via Skype (sometimes includes minimal overtime to accommodate west coast time zone).
- Schedule travel, paying close attention to budget restrictions
- Distribute incoming mail, prepare outgoing mail, maintain employee mailboxes, maintain mailing supplies
- Distribute incoming faxes, prepare outgoing faxes
- Greet/welcome clients, vendors, and direct them to appropriate party
- Maintain strong client/vendor relationships
- Order all office supplies
- Maintain copiers, fax machines and printers, troubleshoot problems, call for repair service, research/execute copier lease
- Plan/coordinate client or supplier lunches, meetings, etc
- Oversee and maintain relationship with cleaning company
- Oversee/ship UPS and FEDEX parcels, upgrade software as required
- Update phone list, maintain orderliness of supply closets, archiving, daily back-up of server, compile job folders
- Act as interface between employees and IT services
- Plan and coordinate company events
- Microsoft Word, Excel
- Maintain ACT database, generate mailing lists for marketing
- Compose bi-weekly newsletter for employees
- Track all incoming sales leads (excel spreadsheets)
- General office duties
